Cancellation Policy

1. Cancellation by the Client

All cancellations must be submitted in writing to veldtfocus@gmail.com. The date of receipt of your written cancellation notice is the operative date for the calculation of any fees.

The following cancellation schedule applies to all Veldt & Focus events:

Notice given before event Amount retained by Veldt & Focus

More than 90 days Deposit only (30% of total price, or full payment for day events)

60–90 days 50% of total event price

Fewer than 60 days 100% of total event price

These fees reflect costs already committed to estates, guides, and suppliers on your behalf. You retain the right to demonstrate that actual costs incurred are lower than the stated percentage, in which case the retained amount will be adjusted accordingly.

2. Transfer of Place as an Alternative to Cancellation

Rather than cancelling, you may transfer your place to another eligible participant at no charge from Veldt & Focus, provided written notice is given no later than 14 days before the event. Please refer to Section 5 of our Terms & Conditions for full transfer conditions. We strongly recommend this option where possible, as it avoids cancellation fees entirely.

3. Date Transfer

Where operational circumstances permit — and entirely at our discretion — we may offer the option to transfer your booking to an alternative date for the same or an equivalent event. This is not a guaranteed right and is subject to estate and supplier availability.

Any costs associated with a date transfer — including but not limited to estate re-booking fees, accommodation changes, or guide availability charges — remain the responsibility of the client. Veldt & Focus will communicate any such costs in writing before confirming the transfer.

4. Travel & Accommodation

Veldt & Focus does not operate as a travel organiser. Travel, accommodation, and transfer arrangements are made independently by the client and are entirely outside our booking. We accept no liability for client travel or accommodation costs under any circumstances, including in the event of event cancellation or date change by either party.

We strongly recommend that all clients take out comprehensive cancellation insurance covering their travel and accommodation arrangements before confirming any booking with Veldt & Focus.

5. Cancellation by Veldt & Focus

Veldt & Focus reserves the right to cancel an event in exceptional circumstances, including but not limited to: insufficient participant numbers, safety concerns, estate or venue withdrawal, force majeure events (including extreme weather, government restrictions, or public health emergencies), or circumstances beyond our reasonable control.

In the event of cancellation by Veldt & Focus:

We will notify you in writing as early as practically possible

A full refund of all amounts paid to Veldt & Focus will be issued within 14 days

Where possible, we will offer an alternative date or equivalent event as a courtesy

Veldt & Focus is not liable for any travel, accommodation, or other costs incurred by the client

6. Force Majeure & Natural Conditions

Field sport experiences take place in natural environments subject to conditions beyond human control. Veldt & Focus is not liable for, and no refund will be issued on account of: adverse or extreme weather; changes in wildlife behaviour or migration; government or estate restrictions on hunting or access; or any other natural or regulatory event affecting the field experience.

Where an event is curtailed mid-day due to force majeure, a pro-rata credit toward a future event may be offered at our discretion. This is not a contractual right.
